Under the general guidance of the Group Revenue Manager; assess, evaluate and ensure that long-term and short-term goals of Reservation Department are met.
To direct and manage the department to ensure an efficient, prompt, courteous, and proactive service to customers is provided, whilst ensuring that complex procedures are followed at all times, in accordance with Departmental Standards Operating Procedures.
To ensure the highest standards of guest care and customer satisfaction are maintained at all times.
QUALITY STANDARDS
RESERVATIONS:
- To ensure the efficient day to day management of the reservations department
- To ensure Reservation Agents maximise all available sales opportunities by encouraging the promotion of hotel facilities and rates.
- To ensure all reservations enquiries and bookings (telephone, email) are handled in a prompt and efficient manner.
- To oversee the management of Opera, interacting with various departments.
- To carry out all tasks in accordance with procedures as outlined in the Reservations Standards Operating Procedures.
- To supervise and co-ordinate the activities of Reservations Agents engaged in taking ,recording and cancelling bedroom reservations and ensuring that Standards Operating Procedures are followed all the times.
- To ensure that all aspects of invoicing are followed at all times in accordance with the Hotel Policy. To minimise hotel bad debts by ensuring that the hotel policy for credit control is followed at all times.
- To ensure maintenance of new reservations, amendments and cancellations.
- To ensure all golf and spa and restaurant reservations are processed in line with department standards.
- To liaise with Front Office and Housekeeping departments regarding any special guest requests, room allocations, queries.
- To liaise with Group Revenue Manager in relation to rooms availability and rates..
- Maintain file details of all reservations, amendments and cancellations and forward to Front Office on a daily basis
INFORMATION TECHNOLOGY:
- Provide training on in-house systems e.g. Opera, DUETTO Revenue management software, Golf Reservations System, Restaurant & Spa booking system to all reservation agents
COMMUNICATION
- To maintain effective communications with all Departments.
- To assist in preparation and conducting regular departmental meetings.
PEOPLE MANAGEMENT
- To ensure departmental members are conversant with and aware of Standards Operating Procedures and that those standards are fully implemented.
- Utilises leadership skills and motivation to maximise employee productivity and satisfaction.
- Monitors team work daily, and makes recommendations for improvement when needed
- Challenge employees within department to achieve departmental goals, maximise occupancy and average room rate to maximise hotels revenue
- Selection of potential staff in co-ordination with Group Revenue Manager and Human Resources function.
- Assess training needs and develop training plans to meet customer needs and staff development.
HEALTH AND SAFETY
- To have full knowledge of and be able to act upon the Hotel & Golf Links Fire and Health and Safety Procedures.
- To complete all duties and tasks with due care for the Health and Safety of yourself and other employees and guests.
- To ensure the highest standards of personal presentation whilst wearing the company approved uniform.
- To report, and where necessary, take action on incidents, accidents, fire, loss or damage.
OCCASIONAL DUTIES
To carry out any other reasonable duties as requested by the General Manager.
Attend meetings.
Attend Hotel & Golf Links Training.
