We are seeking a receptionist whose main duties and responsibilities include clerical and administrative duties, along with office support to the team at Northland's Support Centre. This person should be a multi-tasker with good communication skills and an upbeat attitude. The receptionist should have the ability to effectively communicate via phone and email, ensuring that the duties are completed accurately and delivered with high quality and in a timely manner.

Primary Responsibilities:

  • Performs general clerical duties to include but not limited to: photocopying, scanning, faxing, mail distribution and filing.
  • As a front-line worker, present a positive and professional image of the organization to all visitors, tenants from the building, outside suppliers, inquiries, and other interactions.
  • Provide information to staff and/or clients about special activities.
  • Serves visitors by greeting, welcoming, and directing them appropriately.
  • Creates and modifies various documents using Microsoft Office.
  • Type forms, letters, reports, and memos as necessary.
  • Receive and distribute all forms of paper correspondence.
  • Organize, maintain, and coordinate office records and files in their proper locations.
  • Books meetings and conference calls as needed or anticipated.
  • Answer phones promptly and uses good judgment to prioritize the distribution of messages in a timely manner.
  • Prepare expense reports and debit notes.
  • Consistently use sound judgment to recognize and handle confidential information in an ethical, professional, and discreet manner.
  • Performs all other related duties as assigned.
  • Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
  • Maintain the reception and the kitchen in a tidy and presentable manner.
  • Accept and monitor inbound shipments.
  • Maintain the boardroom in a tidy and presentable manner.
  • Orders office supplies as needed and requested by departments.
  • Regularly orders kitchen supplies including but not limited to milk, coffee, tea, disposable cutleries.

Requirements:

  • Familiarity with Northland Properties and it's iconic brands
  • Ability to learn Systems (e.g., Microsoft Word & Excel)

Assets:

  • Previous experience in the hospitality industry

Core Competencies:

  • Strong attention to detail and excellent organizational skills required.
  • Must be able to always maintain professionalism and a positive service attitude.
  • Must be able to work Monday to Friday, 8:30am-5:00pm
